Terms and conditions for guests

1. Agreement:
a. The agreement between the hirer and Norfolk Coastal Holiday Breaks is only confirmed when the due deposit has been paid.
b. The agreement is for hiring the property on short term holidays only.

2. Payment:
a. A deposit of 25% of the total cost of the booking will be required within seven days of making the booking. Receipt of the deposit will be confirmed via email.
b. Bookings made within six weeks before the holiday start date must be paid in full within seven days of making the booking.
c. Bookings will be forfeited if the deposit is not paid within the seven days (unless you have contacted us to discuss the delay) via letter or email.
d. The remaining balance is to be paid six weeks before the start of the holiday date booked.
e. If payment is not completed within this timescale the booking will be cancelled and the deposit forfeited. We recommend if you have any problems with payments that you contact us as soon as possible to discuss.
f. All payments will be acknowledged and payment reminders will be sent via email.
Payments can be made by the following methods;
 Bank transfer
 Direct link from website
 Paypal
 Credit/debit card (over the phone)
 Cheque (confirmation of payment will be made when cheque has cleared) Cheques to be made payable to “Norfolk Coastal Holiday Breaks”
g. All bookings will incur and administration charge of £15

3. Damage deposit:
a. A damage deposit of £150 will be required to be paid six weeks before the start of the holiday date.
b. This deposit is fully refundable. However, if there is any damage to the property or its contents, or the property must have an extensive clean this will be advised to the hirer after the booking is completed and will be deducted from the damage deposit.
c. Proof of damage will be sent to hirer.

4. Cancellation:
a. Should you need to cancel your booking more than six weeks before the start of the booking date, there will be an administration fee of £30. Your deposit will be returned to you less the administration fee as soon as another booking has been secured. Your deposit will be retained if no other booking is secured.
b. If the booking has been paid in full this will be returned less the administration fee as soon as another booking has been secured. If another booking cannot be secured the full payment will be retained.
c. To secure another booking we may have to reduce the price because of the timescale of bookings. If this is the case the cost of the difference will be retained plus an administration fee of £30.
d. If Norfolk Coastal Holiday Breaks should cancel your booking it will be our liability to reimburse you in full.
We highly recommend that you take out a cancellation insurance policy.

5. Hirers responsibility:
a. It is the responsibility of the hirer to take care of the property and its contents for the duration of stay.
b. All the equipment in the property is to be left clean.
c. The property is to be left tidy.
d. All damages and breakages should be reported to Norfolk Coastal Holiday Breaks as soon as they occur to give maximum time to source replacements and or repair.
e. Norfolk Coastal Holiday Breaks reserve the right to charge for any damage or breakages.
f. Norfolk Coastal Holiday Breaks reserve the right to charge for cleaning if the property has been left in an unsatisfactory state outside of the normal wear and tear of the property.
g. This cost will be retained from the damage deposit, but if the cost exceeds the damage deposit the hirer will be invoiced accordingly.
h. If the invoice is not paid within fourteen days we may choose to use the small claims court to recoup these costs.
i. The hirer is requested to follow the guidelines that are provided by the property owner in the information folder for each respective property.
j. The hirer must not use the property or allow the property to be used for any dangerous, offensive, excessively noisy, illegal or immoral activities.
k. The hirer must not cause nuisance or annoyance to the neighbours. If any such behaviour is reported this will be classed as breach of the terms and conditions of hire and the hirer and guests will be asked to leave immediately terminating the booking. There will be no reimbursement of monies paid.

6. Personal property:
The property owner, Norfolk Coastal Holiday Breaks and their employees do not take any responsibility for the loss or damage to any personal property belonging to the hirer or members of the hirers guests.

7. Responsibilities of Norfolk Coastal Holiday Breaks and property owners:                                                                          a. Are responsible for ensuring the property is clean, warm and all appliances and equipment are in good working order upon your arrival.
b. Are responsible for dealing with any problems which may occur either with equipment or the property during your stay.
c. It is the responsibility of the property owner to keep the information in the welcome folder up to date and correct for each respective property.

8. Occupancy of property:
a. Each property has a limit of the number of guests allowed to stay according to how many beds are provided.
b. If you wish to exceed this amount you must Norfolk Coastal Holiday Breaks in advance. Who will then contact the property owner to get permission.
c. The number of guests on the original booking cannot be exceeded without notification or permission prior to the commencement of the booking date.

9. Fuel and electricity:
All fuel and electricity are included in the hire fee of the booking unless otherwise stated on the website under property details. Properties that have wood burning stoves will be supplied with a small number of logs. Further logs may be purchased by the hirer details of where they can purchased locally will be the properties welcome folder.

10. Property rules:
Each property will have a welcome folder giving you all the details you should need for the duration of your stay. Within this folder will be the property rules and requirements from the property owner.
All properties have a no smoking policy to comply with the fire hazard risk assessments.

11. Owner access:
The property owner has the right to enter their property at will and should they need to Norfolk Coastal Holiday Breaks will do their best to agree a mutual time and day between the hirer and themselves.

12. Arrival and departure:
All arrival and departure details will be emailed to you approximately two weeks before your booking date.
If the arrival date is less than two weeks from making the booking, the details will be sent upon receipt of full payment.
You are welcome to arrive from 4.00pm on your arrival date unless a prior arrangement has been made with Norfolk Coastal Holiday Breaks.
The property must be vacated 10.00am on your day of departure to enable the staff of Norfolk Coastal Holiday Breaks to complete the changeover for guests following on from you.

13. Directions and keys:
Directions to the property and key box code will be sent to you approximately two weeks before your arrival.

14. Complaints:
If you have a complaint or problem with the property during your stay, please contact Norfolk Coastal Holiday Breaks by telephoning 01692 598440 or by sending an email to info@norfolkcoastalholidaybreaks.co.uk at your earliest convenience before the end of your stay and we will do our best to rectify it for you. Any complaints made after your stay will need to be made within 7 days of the end date of booking after this period they cannot be acted upon.
